Before gathering documents, plan your Japan trip day-by-day. Japan requires specific daily plans — list exactly where you will go each day, which attractions you will visit, where you will eat and stay. This is the most important document. Consider using a Japan travel agent or specialist to help create a convincing itinerary.
Collect: valid passport (6+ months), Japan visa form, passport photo, round-trip flight itinerary, hotel bookings for every night, your detailed day-by-day itinerary, 3-month bank statement, employment letter with approved leave, and a cover letter explaining your purpose of visit.
Book your hotels (major booking sites such as booking.com or hotels.com provide instant confirmation) and get a flight itinerary. You do not need to pay for flights at application stage — an itinerary reservation is acceptable.
Go to the Japanese Embassy at Plot 8-10 Kira Road, Kampala during morning submission hours (09:00–12:00, Mon–Fri). No appointment required for submission but arrive early. Submit your complete document set. The Embassy processes applications directly — no VFS service.
